Session Journal is a companion app for tabletop RPG players, published by Dungeons Not Dating (“we,” “us”). This policy explains what information the app collects, how it’s used, and how you can delete it.
Short version: we collect only what’s needed to run your account and your party’s shared notes and inventory — your email, a username, and the content you write. We don’t run ads, we don’t use analytics or tracking, and we don’t sell or share your data with anyone outside the infrastructure that runs the app (Google Firebase).
Information we collect
When you create an account and use the app, we collect:
- →Account information: your email address, password (handled entirely by Firebase Authentication — we never see or store it in plain form), username, and role (Player or Game Master).
- →Party information: which party you belong to, and the invite code used to join or create it.
- →Session notes you write: campaign title, session date, notes, memorable moments, notable NPCs and places, and who you’ve chosen to share each note with.
- →Party Bank items: inventory entries (item name, description, quantity, value) added by you or your party members.
- →Character summaries: the name and description you write for your own character.
- →Scheduled sessions: session date/time and an optional note, created by your party’s Game Master, plus your RSVP status (Going/Maybe/Can’t Make It) if you respond.
- →Lore library entries: NPCs, places, history, religions, factions, and quests your Game Master writes, each with a name, description, and a flag for whether it’s shared with the party.
We do not collect your location, contacts, photos, camera or microphone access, or any advertising identifier. The app does not include analytics or tracking software of any kind.
How your content is shared
Session notes are visible according to the setting you choose when you write them:
- →Private — visible only to you.
- →Whole Party — visible to every member of your party.
- →Someone specific — visible to you and whichever party members you select.
Party Bank inventory, scheduled sessions, RSVPs, and character summaries are all visible to every member of that party. Lore library entries are visible only to your Game Master until they choose to share a specific entry with the party. Parties are closed groups — someone can only join with an invite code a Game Master shares with them directly; there is no public discovery of users, parties, or notes.
How we use and store information
Your data is stored using Google Firebase (Firebase Authentication and Cloud Firestore), which acts as our infrastructure provider. We use your information solely to operate the app’s features described above — account login, displaying your notes and your party’s shared content, and party inventory. We do not use your data for advertising, and we do not sell or rent your information to any third party.
Data retention and deletion
Your data is retained for as long as your account is active. You can permanently delete your account at any time from Account → Delete My Account inside the app. Doing so:
- Permanently deletes every session note you authored;
- Permanently deletes your account profile (username, email, role);
- Removes you from your party’s member list;
- Permanently deletes your Firebase Authentication login credentials.
Party Bank items you contributed, your character summary, and any RSVPs you made remain as part of your former party’s shared record, since they’re shared party data rather than personal data uniquely tied to your account. Children's privacy
Session Journal is not directed at children under 13, and we do not knowingly collect information from children under 13. If you believe a child has created an account, contact us at the address below and we’ll delete it.
Changes to this policy
If this policy changes, we’ll update the “last updated” date above. Continued use of the app after a change means you accept the updated policy.
